We are currently looking for an
Senior Payroll, Tax and Compliance Specialist - US
to join our Payroll and Human Resources Team.

This is an office-based role with the option of a hybrid work arrangement. The ideal candidate will be available to come into the London, Ontario office 4 days per week.

In this role, you won't just process payroll — you'll protect it. You'll ensure every employee is paid accurately, every tax filing is compliant, and every regulatory change is proactively managed. You'll take ownership of payroll tax compliance across federal, state, and local jurisdictions while strengthening systems, controls, and processes that support a growing U.S. organization.

Specifically, You Will Focus On

U.S. Payroll Tax and Compliance Management

  • Set up and manage new state and local tax accounts, including registrations, agency correspondence and access to online accounts.
  • Manage and ensure full compliance with federal, state, and local payroll tax regulations, including accurate and on time tax payments and filings.
  • Proactively monitor new legislation (e.g., state-specific leave programs, unemployment insurance, disability, and other agency requirements). Set up and manage new employer accounts, configuration of payroll earning/deduction codes, and ongoing management of filings, reconciliations, and payments.
  • Manage compliance with wage and hour laws, FLSA requirements, and multi-state employment regulations.

U.S. Payroll Execution

  • Validate and ensure accurate tax calculations of wages payroll calculations including overtime, multi-state earnings, bonuses, commissions, garnishments, benefit deductions, and 401k contributions.
  • Prepare and ensure accurate payroll accounting and reporting, including allocation of wages, benefits, taxes, and 401(k) activity by cost center.
  • Perform detailed variance analysis and pre-transmission audits to ensure accuracy and control. Resolve discrepancies prior to final transmission.
  • Serve as full operational backup to the Payroll Specialist with the ability to independently run full payroll cycles without disruption.
  • Process and manage all aspects of U.S. payroll year-end including W-2 processing, detailed YTD reconciliations, taxable benefit reporting, adjusting entries, and all year end related filings.

System Administration & Process Management

  • Develop, document, and continuously improve payroll processes and internal controls.
  • Manage end-to-end employee onboarding and offboarding across HRIS, payroll, benefits, and retirement systems, ensuring accurate data flow between platforms, timely enrollment and terminations, delivery of required documentation, and full compliance with benefit and 401(k) program requirements.
  • Partner in payroll system transitions, enhancements, or implementations as required, including configuration, maintenance, updates, troubleshooting and continuous improvement initiatives.
  • Ensure integrity of payroll data, maintain strong audit controls and management of all supporting files and documents.
  • Drive process standardization across US entities, in alignment with established corporate policies and culture.

Salary Range: $85,000 - $110,000
