JOB TITLE: Specialist-Finance
REPORTS TO: Director of Finance

PAYGRADE: AM 1
PRIMARY PURPOSE:
The Finance Specialist will be responsible for the oversight of the District’s detailed fixed asset inventory and site-based inventories, and assist the Financial Services Coordinator with activity funds duties of the campuses.

QUALIFICATIONS
Required:
- 60+ College hours from an accredited college or university, in lieu of degree 5 years of accounting experience
- Three years of job related experience
Preferred:
- Nine (9) hours of college accounting coursework or comparable
- Two years of experience working in a school district setting
SPECIAL KNOWLEDGE/SKILLS:
- Advanced knowledge of bookkeeping fundamentals.
- Knowledge of Accounting and Fixed Assets, processes and procedures.
- Strong knowledge of computer programs/technology.
- Intermediate to advanced excel skills
- Effective verbal and written communication and interpersonal skills
- Ability to coordinate projects and programs
- Ability to organize, multi-task, and plan work to meet deadlines
- Ability to develop and maintain effective working relationships
MAJOR RESPONSIBILITIES AND DUTIES
- Oversee the district’s fixed assets accounting system including recording transactions related to asset acquisition, transfers, and disposals.
- Responsible for developing and implements standard operating procedures for fixed assets.
- Setup plan for the District’s physical inventory count including deadlines, sending communication and following up as necessary.
- Reconcile the records per the financial accounting system to the fixed assets system, maintaining existing data, and balancing fixed assets to the general ledger.
- Analyze additions, deletions and transfers of fixed assets for appropriateness and verify that all transactions have been recorded correctly in the financial accounting system.
- Review the general ledger for proper accounting of capital assets and make corrections as necessary.
- Maintain and oversee Site Based inventory for the district.
- Assist in the training of Site Based inventory coordinators.
- Serve as the liaison between Distribution Services and Financial Services to ensure proper accounting of all assets.
- Assist during semi-annual and annual audits as it relates to fixed assets.
- Provide communications to administrators and train and evaluate designated fixed asset personnel at all District locations.
- Create and maintain a database of questions and training issues to be addressed by the Financial Services Division.
- Ensure timely notification to department staff of changes in District policy, procedures, and practices.
- Provide technical support to school secretaries/bookkeepers for student activity accounting software.
- Assist with helping complete duties for campus bookkeepers who are out of the office for an extended time.
- Assist in training secretaries/bookkeepers and sponsors/teachers on activity funds processes and procedures.
- Assist the Financial Services coordinator in maintaining and updating the Activity Funds Manual, presentations, website, and blog.
- Serve as backup to the Executive Assistant of Financial Services.
- Perform other tasks and duties as assigned
WORKING CONDITIONS
The usual and customary methods of performing the job’s functions require the following physical demands: physical mobility, standing, prolonged sitting and prolonged use of a computer, some lifting, carrying, pushing, and/or pulling. This position will also require traveling within the district. Mental demands: Ability to solve problems and deal with a variety of situations; Interface with all levels of leadership, dynamic environment with changing priorities and occasional irregular hours. Ability to be effective in both oral and written communication and the ability to maintain emotional control under stress. Ability to work independently.
