<p><h3>The Work!</h3><ul><li>Calendar & Time Management : Coordinate and maintain complex calendars, proactively resolving scheduling conflicts and prioritizing high-impact meetings, while adapting to last-minute changes with ease.</li><li>Meeting & Event Coordination : Organize logistics for meetings and events, including agendas, materials, room bookings, and catering.</li><li>Communication Management : Draft and proofread internal and external communications on behalf of the executive(s). Monitor and triage email correspondence, escalating as appropriate.</li><li>Travel & Expense Support : Arrange travel and accommodations. Prepare and reconcile expense reports in a timely manner.</li><li>Document & Records Management : Prepare and format documents and presentations.</li><li>Maintain organized digital and physical filing systems.</li><li>Cross-functional Liaison : Serve as a point of contact for internal and external stakeholders, representing the executive office with professionalism.</li><li>Office & Project Support : Assist with general office tasks such as printing, filing, courier coordination, and greeting visitors. Collaborate with Senior Executive Assistants on special projects and initiatives as needed.</li><li>Digital Savviness : Leverage digital tools and platforms (e.g., Zoom, DocuSign, cloud based systems) to support virtual collaboration, document sharing, and workflow optimization.</li></ul><h3>Let\'s Talk about You!</h3><ul><li>3-5 years of experience in an administrative or executive assistant role, ideally within financial services or a regulated industry.</li><li>Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., MS Teams, SharePoint, Concur).</li><li>Strong written and verbal communication and interpersonal skills.</li><li>Excellent organizational skills, with high attention to detail and accuracy.</li><li>Ability to manage multiple priorities and adapt to changing demands.</li><li>Proven ability to manage sensitive information with integrity and discretion.</li><li>Bilingualism (English / French) is an asset.</li><li>Post-secondary education in business administration or a related field is preferred.</li><li>Commitment to diversity, equity, and inclusion in all communications and interactions is valued and encouraged.</li></ul><h3>Benefits</h3><p>What we offer (For full-time permanent roles) Competitive discretionary bonus Market leading RRSP match program Medical, dental, vision, life, and disability benefits Employee Share Purchase Plan????
