Hays has partnered with notable professional consultant located in Toronto, ON who are looking to hire a Receptionist to join their team on full-time, permanent basis.
Your new role
As the Receptionist, you will serve as the first point of contact for all visitors and callers, ensuring a warm, professional, and efficient reception experience. You will greet guests upon arrival, direct them to the appropriate staff or departments, and manage incoming phone calls by answering, screening, and forwarding inquiries. You will maintain a clean, organized reception area and ensure necessary supplies are fully stocked. You will provide basic information to visitors and callers, handle the receipt, sorting, and distribution of daily mail and deliveries, and uphold office security by monitoring access, managing visitor badges, and maintaining logbooks. Additionally, you will order and track front‑office supplies, update calendars, schedule meetings, and coordinate travel arrangements as needed. You will also support administrative operations by maintaining records, tracking expenses, and performing a variety of clerical tasks such as filing, photocopying, and preparing documents.
What you'll need to succeed
- Proficiency in Microsoft Office Suite
- Familiarity with Multi-line Telephone Systems. Handling phone calls efficiently is essential.
- Solid typing skills.
- Professional, presentable demeanor.
- Excellent communication skills. You will greet and interact with a wide variety of visitors, colleagues and clients.
- Strong organization & time management skills.
- You will handle sensitive information and must maintain confidentiality at all times.
- Proven work experience as a receptionist or a customer facing role is a strong asset.
- Hands-on experience with office equipment (such as fax machines and printers) is beneficial
