Job Description:
The receptionist/administrative assistant greets and directs clients/visitors in person and over the phone. They also provide administrative support to the lawyers and director to meet the operational needs of the firm.
Responsibilities:
*Greet in-person visitors; answer, screen and refer incoming calls accordingly.
*Maintain safe and clean reception, kitchen and boardroom areas.
*Manage new client phone intakes.
*Book institutional client calls/visits.
*Manage boardroom scheduling.
*Compile hard copy materials.
*Coordinate courier pick-ups/deliveries; check mailbox and process deliveries.
*Assist with management of office supply inventory and liaise with director regarding company needs.
*Attend Canada Post, as required.
*Assist director and associate lawyers, as needed.
Qualifications:
Excellent verbal and written communication, customer-focused, organized, handles pressure well, effective time-management, professionalism, technical skills (Microsoft Office, Adobe Pro, Mac iOS).
Assets:
Knowledge of criminal court procedure (Court of Appeal, Ontario/Superior Court), knowledge of Legal Aid Ontario administration, and/or familiarity with Cosmolex and Case Centre.
