Your Role: HR / Payroll Administrator

Were looking for an HR / Payroll Administrator to join our Corporate Services team and support the day-to-day operations of Human Resources and Payroll.

This is a hands-on, detail-focused role where youll work closely with the Director of Human Resources to support payroll administration, benefits coordination, onboarding and offboarding, BambooHR workflows, recruitment coordination, and employee events.

Youll play an important role in keeping things organized, accurate, and running smoothly across the employee lifecycle. This position is well-suited for someone who enjoys structure, documentation, follow-through, and being a reliable support to both employees and leadership.

What Youll Do

Payroll:

  • Support payroll processing by entering and maintaining payroll data, including hours, adjustments, and approved changes
  • Assist with validating payroll information prior to submission
  • Handle payroll-related information with a high level of confidentiality and discretion
  • Assist with payroll audits, reconciliations, and record-keeping
  • Flag discrepancies or concerns to HR leadership to ensure payroll accuracy

Benefits, Onboarding & Offboarding Support:

  • Support employee benefits administration, including enrolments, changes, and terminations
  • Maintain accurate benefits records in BambooHR
  • Assist with communication and coordination with benefit providers
  • Support onboarding by preparing documentation, coordinating system access, and tracking onboarding tasks
  • Assist with offboarding processes, including benefits termination and final documentation
  • Ensure employee lifecycle changes are completed accurately, on time, and documented

Employee Files & Document Control:

  • Maintain organized digital and physical employee files
  • Support standardized filing systems, naming conventions, and document retention
  • Ensure confidential information is stored securely and updated as required
  • Assist with audit, year-end, and compliance documentation

BambooHR & HRIS Support:

  • Support the maintenance of employee records, profiles, and workflows in BambooHR
  • Assist with onboarding checklists, e-signature requests, and HR workflows
  • Support HR reporting and data accuracy as requested
  • Assist with time-tracking administration for production teams

Recruitment & Pre-Screening Support

  • Conduct first-round phone screens and support candidate shortlisting
  • Schedule interviews and coordinate recruitment logistics
  • Support job postings, applicant tracking, and candidate records
  • Prepare interview materials and pre-hire documentation
  • Assist with coordinating background checks

General HR Administrative Support

  • Support HR leadership with training sessions, presentations, and workshops
  • Prepare letters, templates, reports, and internal communications
  • Monitor and triage HR inbox inquiries
  • Assist with collecting and organizing information for HR programs, surveys, and compliance initiatives

Events & Culture Support

  • Support employee events, celebrations, and recognition initiatives
  • Assist with planning and logistics for larger events such as Tech-Wood Day and our annual Christmas Party
  • Help prepare event communications, sign-up sheets, and materials

What You Bring

  • Diploma or certificate in Human Resources, Business Administration, or related field (asset)
  • 13 years of HR or administrative support experience preferred
  • 35 years of payroll and compliance experience
  • Experience with HRIS systems (BambooHR is an asset)
  • Strong organizational and time-management skills
  • High attention to detail and accuracy
  • Clear, professional, and friendly communication style
  • Proven ability to handle confidential information with discretion
  • Proficiency with Microsoft Office and digital tools
  • Proactive, resourceful, and able to take initiative
  • Customer-service mindset when supporting employees and managers
  • Working knowledge of Canva (asset)
