About Village Theatre Waterdown (VTW)

Village Theatre Waterdown (VTW) is a charitable community theatre dedicated to producing high-quality theatrical experiences and community events. For over 50 years, VTW has engaged over 100 volunteers and artists annually to bring theatre to the Greater Hamilton area. We are looking for someone who has a passion for theatre and an interest in sharing their expertise to fulfill the goals of a charitable community.

Role Overview

The Concession Services Coordinator works under the guidance of the Production Coordinator to oversee concession operations from purchasing and stocking of supplies, managing volunteers during pre-show, intermission and post-show, managing concession sales and reporting of concession financials to the Treasurer.

Time Commitment:

  • 18 shows per season (September to June)
  • Average of 3.5 hours per shift (pre-show, intermission, post-show)
  • Additional time required for planning, purchasing, and reporting.

Key Responsibilities

Inventory Management:

  • Communicate with Box Office Lead or Production Coordinator to determine supply needs
  • Purchase stock, track concession items and maintain accurate inventory records

Financial Management:

  • Secure cash advances from the Treasurer for inventory and cash floats
  • Process concession sales accurately (cash and digital POS transactions)
  • Maintain financial records, including expenses, receipts and sales reports
  • Safeguard and deposit cash profits after each show

Volunteer Coordination and Customer Service:

  • Train and orient volunteers for concession operations ensuring compliance with Health and Safety regulations
  • Provide guidance to volunteers to ensure smooth operations and excellent customer service

Reporting and Compliance:

  • Submit detailed financial reports to the Treasurer at the end of each show (production) run
  • Ensure compliance with VTW policies, including Health and Safety guidelines
  • Support implementation of new concession opportunities (e.g., alcohol sales, specialty items)

Requirements

  • Membership with VTW
  • Professional, volunteer, or equivalent experience in a similar role
  • Strong leadership, communication, and organizational skills
  • Ability to work well under pressure and solve problems efficiently
  • Comfortable handling cash and processing digital POS transactions accurately
  • Proficiency in MS Office, Excel, Google Drive, and email communication
  • Commitment to diversity, equity, and inclusion within the VTW community
  • Vulnerable Sector Check may be required
  • Ability to support recruitment and training of a replacement when completing the role
  • Initiative to implement new opportunities (alcohol sales) when they arise
