We are currently seeking an Administrative Assistant to join our Legal Talent team. This is a hybrid role based in downtown Toronto and is well-suited for an organized, detail-oriented professional who enjoys supporting people-focused initiatives, managing processes, and working in a structured, fast-paced environment.
Key Responsibilities
- Provide administrative support to the Legal Talent team, including scheduling, coordination, and document preparation
- Manage calendars, meetings, and evaluation schedules related to internal reviews and talent processes
- Prepare, organize, and maintain documentation within internal document management systems
- Support student and lateral recruitment processes, including interview coordination, onboarding documentation, and tracking materials
- Maintain trackers, reports, and internal databases related to talent initiatives and ongoing projects
- Assist with the coordination of campus outreach and recruitment-related initiatives
- Support internal projects and process improvements within the Legal Talent function
- Liaise with internal stakeholders to ensure timely follow-up on administrative and documentation-related matters
- Provide general administrative and operational support to the team as required
Requirements
- 2+ years of experience in an administrative or coordinator role within a professional services environment
- Strong organizational and time management skills with excellent attention to detail
- High proficiency in Microsoft Office, particularly Word, Excel, and Outlook
- Comfort working with trackers, tables, formatting, and document organization
- Ability to manage multiple priorities in a deadline-driven environment
- Strong written and verbal communication skills
- Professional, discreet, and comfortable handling sensitive and confidential information
- Interest in talent, recruitment, HR, or people-related functions is considered an asset
